org/about-us/associations-and-partners We are seeking a dynamic Program Specialist to join our team here in Williamsburg, VA.
Reporting to an Association Manager, this key role is responsible for:
providing support to associations that include membership updates, processing invoices, event and conference registration, monthly reporting, and other duties in support of an association manager.
Duties and Responsibilities Administrative Responsibilities Provide day-to-day administrative support to assigned associations, including front-line customer service via telephone and email Maintain association membership records.
Support the membership activities of the associations.
Process the join and renewal process by checking applications to ensure that they are correct, and follow-up on missing or inaccurate information, and ensuring that all applications are processed in a timely fashion Maintain full knowledge of upcoming events, strategic plans and programs, services, publications, membership benefits, and dues structure to assist in answering member questions Assist with the preparation of board packets for Board of Directors and General Business Meetings which includes pulling committee reports form Qualtrics, formatting the reports and then compiling everything in Adobe Pro to create a finalized board book Create periodic membership, financial and conference registration reports Prepare bank and credit card deposit reports on a weekly basis; assist in the preparation of deposits and banking information for monthly reports.
Manage the general association email inbox and general phone line, assisting association members and the public.
Conference/Event Responsibilities Travel to assigned association conferences throughout the country three to four times a year, up to one week per conference Provide on-site support at conferences and meetings including set-up, run and manage the registration desk, and other duties as requested Process invoices utilizing an online payment processing system; reconcile online payments and prepare invoices for membership dues and conference registration fees Process conference registrations and payments using CRM software Provide staff assistance for committees as requested by manager Create post-conference feedback surveys using survey software in Qualtrics Assist with marketing materials Assist with updating the associations website content Minimum Qualifications Successful candidates will have:
Bachelor's degree in Business Administration, Marketing or other relevant degree, or equivalent education and experience that demonstrates the ability to effectively perform in the position 2
years of experience within a client-based/customer service industry, or non-profit, handling similar functions as a Program Specialist Ability and willingness to travel to support the assigned association's conferences.
Travel occurs 3-4 times a year up to 1-week at a time (travel dates are known well in advance) Proficient in Microsoft Office Suite Excellent written and verbal communication skills.
Ability to communicate ideas, thoughts, and concepts clearly, concisely, in a compelling way Ability to meet multiple deadlines by maintaining a high level of organization while managing several projects simultaneously Experience producing marketing materials, such as brochures, flyers, etc.
Interpersonal skills to work effectively with colleagues and customers Ability to foster client satisfaction and build customer goodwill Ability to work both collaboratively as a member of a team and independently Ability to be proactive and anticipate deadlines Working knowledge of a CRM or other similar databases Knowledge of Qualtrics or similar survey tool preferred Supplemental Information This position is based in Williamsburg, VA and is eligible for hybrid remote status.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
